Artist FAQs
A practical summary of what happens before, during and after an artwork sale
Before an artwork is listed
What information must I give Aperio?
· Accurate title, medium, dimensions, date, price, framing and condition information.
· For an edition: the total numbered edition size, the number of the work being offered and any artist's proofs.
· Any relevant ownership restriction, material defect or other fact that could affect the sale.
· Accurate images and information that Aperio may use to present and promote the work.

What must the price include?
· Unless otherwise agreed in writing, the agreed retail price must include professional packaging, tracked delivery and transit insurance to the destinations where the work is offered.
· Tell Aperio if delivery costs differ materially by region so that separate regional pricing can be agreed.
· Disclose any tax that you are legally required to charge.

What must accompany the artwork?
· Every sold artwork must have a Certificate of Authenticity. You may use your own certificate or Aperio's template.
· The certificate and all edition information must be accurate. Artist's proofs must be identified separately and disclosed to Aperio.
· Aperio recommends sending the certificate separately by tracked post for security.

When a buyer places an order
Does an online order mean the sale is immediately final?
· No. The buyer first receives an automated acknowledgement. Aperio accepts the order only after availability and fulfilment can be confirmed by the Artist.
· Aperio is the seller and collects the buyer's payment. Aperio communicates the acceptance, delivery updates and any later issue to the buyer.

How quickly must I confirm availability?
· Confirm within 24 hours that the exact artwork is available and can be dispatched within the required timeframe.
· Tell Aperio immediately if a listed work is sold, reserved, withdrawn or otherwise unavailable.
· Tell Aperio in advance about holidays or other periods when you cannot fulfil an order.

Who communicates with the buyer?
· Aperio is the buyer's point of contact for the order, delivery, cancellation, return, refund, damage report or complaint.
· Send tracking and delivery updates to Aperio. Do not negotiate directly with the buyer or agree a refund, return or other remedy.
· Use buyer contact details only where necessary for delivery. Do not add the buyer to your mailing list or use the details for marketing.

Packaging and dispatch
Who arranges outbound shipping?
· Unless Aperio agrees otherwise in writing, you select, book and pay the carrier.
· Use professional packaging suited to the work's medium, dimensions, weight, fragility, value and destination. See our packaging guidelines to help ensure your artwork travels safely.
· Use tracked transit insurance covering the artwork's full retail value and comply with the carrier's and insurer's requirements.

What evidence must I retain and send?
· Immediately before dispatch, photograph the complete artwork and the finished packaging.
· Keep the carrier receipt, tracking information and evidence of full-value transit insurance.
· Send Aperio the carrier receipt, tracking number and delivery information immediately after dispatch.

Who completes outbound customs documents?
· If you book an international shipment, complete the carrier's customs information accurately and comply with its documentation requirements.
· Describe and value the artwork accurately.
· The buyer is normally responsible for destination-country import VAT, customs duty and clearance charges unless checkout expressly states otherwise.

If a delivery is lost or damaged
Who deals with the buyer and the carrier?
· The buyer reports the problem to Aperio. Aperio communicates with the buyer and coordinates the remedy.
· Provide Aperio promptly with your pre-dispatch photographs, shipping records and insurance information.
· Where you selected or booked the outbound carrier, you are responsible for pursuing the carrier or insurance claim.

Who pays for a damaged, faulty or incorrect return?
· The buyer must not incur a return cost.
· You must arrange and pay for an appropriately insured return or collection in coordination with Aperio where the work arrived damaged, faulty, incomplete, materially misdescribed or incorrect. You can then claim insurance if goods were damaged or lost in transit.
· If Aperio pays a related refund, return, collection or other reasonable cost for which you are responsible, it may seek reimbursement or deduct it from sums due to you.

Returns and inspection
What happens if the buyer simply changes their mind?
· Where the statutory right applies, the buyer may notify Aperio within 14 days after receiving the artwork and must return it within a further 14 days.
· The buyer arranges and pays for tracked and appropriately insured return delivery. No commission or Artist proceeds are payable on the cancelled sale.
· Do not organise or agree the return directly with the buyer. Aperio will provide the return instructions.

What must I do when a return arrives?
· Accept a return authorised by Aperio and inspect the artwork and packaging promptly.
· Within 2 business days, send Aperio photographs and report any alleged damage or loss of value.
· Do not refuse a securely packaged return merely because the original packaging was not used.
· Aperio decides and communicates the refund after considering your evidence and the buyer's statutory rights.

Who handles customs documents for a return?
· For a damaged, faulty, incomplete, misdescribed or incorrect artwork, the Artist arranges the insured return or collection in coordination with Aperio and must ensure the return customs arrangements are correct.
· For a change-of-mind return, the buyer books the shipment and is responsible for the carrier's return customs information, following Aperio's instructions.
· If customs charges are imposed despite a correct returned-goods declaration, contact Aperio before paying or allowing the shipment to be sent back by the carrier.
· Every international return must be declared accurately as returned goods, not as a new sale or gift.

Payment
When will I be paid?
· Commission is paid to Artists only after Aperio has received cleared payment, the artwork has been delivered, the buyer's applicable 14-day cancellation period has expired and no relevant claim remains unresolved.
· If the buyer cancelled, the return and refund must also be complete.
· Aperio pays the Artist's proceeds within 7 business days after all applicable conditions have been satisfied.
